R-W-C Policy

Retraction–Withdrawal–Correction (R–W–C) Policy

Frontier Advances in Applied Science and Engineering (FAASE) • OJS 3.3

1) Purpose & Core Principles

  • Safeguard the scholarly record through transparent, citable notices (Correction, Retraction, Expression of Concern, Replacement/Removal—exceptional).
  • Amend the literature to ensure reliability; not to punish authors.
  • Link all notices bi-directionally to the affected article, keep versions permanently accessible, and label PDFs/HTML clearly (e.g., “Retracted”, “Corrected”).

2) Scope & Typical Triggers

  • Retraction: unreliable findings (error or misconduct), redundant/duplicate publication, plagiarism, unethical research, unlawful content, unverifiable authorship, manipulated peer review/images/data.
  • Correction: trustworthy overall conclusions, but identifiable errors that require a formal corrigendum/erratum.
  • Expression of Concern (EoC): unresolved investigation; credible concern pending outcome.
  • Withdrawal: pre-publication removal (early-view/accepted articles) for major issues; if already published, use Retraction/Correction instead.
  • Removal/Replacement (exceptional): legal risk, court order, privacy breach; metadata/notice remain with reasons stated.

3) Decision-making & Investigation

  • Allegations may come from readers, editors, reviewers, institutions, or third parties. The Editor-in-Chief leads the process; independent experts may be consulted.
  • Authors and, where relevant, institutions/funders are invited to respond within a defined timeframe (normally 10–30 days).
  • Outcomes follow COPE flowcharts; decisions documented in the journal’s records.

4) Required Content of Public Notices

Notice Type Minimum Elements
Correction (Corrigendum/Erratum) What is corrected; who made the error; effect on conclusions; link to the article; date; DOI.
Retraction Clear reason(s) and evidence; who is retracting (authors and/or editor); statements on data/ethics; links (notice ↔ article); permanence; DOI.
Expression of Concern Reason for concern; what is being investigated; next steps; expected timeline if possible; links; DOI.
Removal/Replacement (rare) Legal/privacy basis; who decided; placeholder metadata persists; replacement article linked if applicable; DOI(s).

5) Presentation, Indexing & Permanence

  • Notices are open access, citable, time-stamped, and assigned a DOI.
  • HTML/PDF of the affected article display a visible label (e.g., “Retracted”) and links to the notice; the original remains accessible unless a legal removal is required.
  • Metadata and Crossref updates are sent promptly; indexing services (e.g., Scopus) are notified through standard feeds.

6) Author-Initiated Retractions/Corrections/Withdrawals

  • Authors may request action with a reasoned statement and supporting evidence. Editorial independence is maintained; the journal determines the final action.
  • Pre-publication withdrawal (accepted/early-view) may be granted for compelling ethics/legal reasons; once formally published, the appropriate route is Correction or Retraction.

7) Indicative Timelines

Stage Target Window
Author response to initial query 10–30 days
Preliminary editorial assessment ≤30 days from receipt
Full investigation & decision Varies with complexity; EoC may be posted if prolonged
Publication of notice & metadata updates As soon as practicable after decision

8) Appeals & Record-keeping

  • Appeals must provide new evidence or identify a material error in process; they are reviewed by the Editor-in-Chief with independent advice as needed.
  • All case materials and decisions are archived securely for audit and reporting purposes.
